Maintenance of Records

Continuing Education records are to be maintained for a MINIMUM of six years.

  • Programs prior to 2024:
    • For Regularly Scheduled Series, attendance is submitted via spreadsheet.
    • Data from the spreadsheet is entered into the Access database.
    • Spreadsheets are placed in the program-specific file.
    • Transcript requests are filled using the Access database
    • For CEHP events, registrations are managed using Cvent.
    • An attendance roster is generated and active onsite at the event
    • Following the event, Cvent records are updated to reflect actual attendance.
    • A scanned version of the attendance roster is placed in the activity file.
    • Verification of Attendance is done as a function of the evaluation process, and certificates are generated upon completion of the evaluation.
    • Data from the VOA is entered into the Access database and placed on transcripts.
    • For Enduring Activities, completion records are downloaded from Canvas and entered into the Access database.
    • Copies of completion records are placed in the activity file
  • Programs 2024 and beyond:
    • Activities are created in HighMarksCE
    • For Regularly Scheduled Series, attendance records may still be submitted via spreadsheet and uploaded into HighMarksCE.  Also available is an option for learners to log in and claim credit; use of this function is being evaluated.
    • For CEHP events, learners are given a url and/or a QR code to access HighMarksCE for purposes of evaluating the program, verifying attendance and claiming credit.
    • Completion records from Enduring Activities will be added into HighMarksCE by CEHP staff.
    • HighMarksCE maintains transcripts for all learners which may be claimed on demand.
    • Records from the previous six years will be added to learners’ files and made available.
    • Learners are able to add information from activities not sponsored by the University of Missouri into HighMarksCE for their own use in a consolidated transcript; however, these programs are not considered the responsibility of the University or CEHP.
